How to make a calendar in Microsoft Word

Creating a calendar in Microsoft Word is easier than many people realize. Whether you need a personal planner, a printable family schedule, or a custom calendar for work, Word includes built-in templates and formatting tools that make the process simple.

Instead of designing a calendar from scratch, you can use one of Word’s ready-made templates and customize it to suit your needs.

Create a Calendar Using a Template

The fastest way to make a calendar in Word is by using one of Microsoft’s templates.

Step 1: Open Word

Launch Microsoft Word and select New from the left sidebar.

Step 2: Search for Calendar Templates

In the search box, type Calendar and press Enter. Word will display a collection of free calendar templates that you can use immediately.

Step 3: Choose a Template

Browse through the available designs and click on one that fits your preferences.

Templates are available for:

  • Monthly calendars
  • Yearly calendars
  • Academic calendars
  • Photo calendars
  • Planner-style calendars

Step 4: Create the Calendar

Click Create to download and open the selected template in Word. From there, you can edit text, colors, fonts, and images.

Customize Your Calendar

Once the template opens, you can personalize it in several ways.

Change the Year or Month

Many templates allow you to specify the month and year through a dedicated Calendar tab or by selecting Set Calendar Dates.

Add Holidays and Events

Click inside any date box and type important information such as:

  • Birthdays
  • Meetings
  • School events
  • Vacations
  • Deadlines

Replace Images

If your template includes pictures, simply click an image and choose Change Picture to insert your own photos.

Create a Calendar From Scratch

You can also build a calendar manually.

Step 1: Insert a Table

  1. Open a blank Word document.
  2. Select Insert > Table.
  3. Create a table with 7 columns and 6 rows.

Step 2: Add Weekdays

Type the days of the week in the first row:

  • Sunday
  • Monday
  • Tuesday
  • Wednesday
  • Thursday
  • Friday
  • Saturday

Step 3: Enter Dates

Fill in the remaining cells with the appropriate dates for the month.

Step 4: Format the Calendar

Use Word’s formatting tools to:

  • Change cell colors
  • Adjust borders
  • Modify fonts
  • Resize rows and columns
  • Insert images or icons

Print Your Calendar

After finishing your design:

  1. Click File.
  2. Select Print.
  3. Choose your printer settings.
  4. Print the calendar or save it as a PDF.
