Printing professional-looking envelopes doesn’t require special design software. Microsoft Word includes built-in envelope tools that make it easy to create, customize, and print envelopes for personal or business use.
Whether you’re mailing invoices, invitations, letters, or official documents, Word lets you choose envelope sizes, adjust address placement, and save your design for future use. Once you know where to find the feature, creating envelopes takes only a few minutes.
This guide explains how to create and print envelopes in Microsoft Word from start to finish.
Why Use Microsoft Word for Envelopes?
Many people manually write addresses or rely on online design tools, but Word offers a faster and more convenient solution.
Some of its advantages include:
- Built-in envelope templates
- Support for standard and custom envelope sizes
- Adjustable fonts and address positioning
- Easy printing from most home and office printers
- Ability to save envelope layouts for future use
- Mail merge support for bulk mailing
These features make Word suitable for both occasional and frequent mailing tasks.
Step 1: Open the Envelope Tool
Start Microsoft Word and create a new blank document.
Next:
- Select the Mailings tab.
- Click Envelopes in the Create group.
- The Envelopes dialog box will appear.
This window contains everything needed to prepare your envelope.
Step 2: Enter the Delivery Address
In the Delivery Address field, type the recipient’s mailing address exactly as it should appear.
For example:
John Smith
123 Main Street
Chicago, IL 60601
Word automatically formats the address for printing, although you can customize the font and layout if desired.
Step 3: Add Your Return Address
In the Return Address section, enter your own mailing information.
If you’ve previously saved a default return address in Word’s settings, it may appear automatically. You can also choose to omit the return address for individual envelopes without deleting your saved information.
Step 4: Select the Correct Envelope Size
Before printing, verify that the selected envelope matches the one loaded into your printer.
Click Options, then open the Envelope Options tab.
Word includes numerous predefined sizes, including common business envelopes. If your envelope isn’t listed, choose Custom Size and enter the width and height manually.
Using the correct size helps ensure the addresses print in the proper position.
Step 5: Configure Printer Settings
Different printers feed envelopes differently.
Open the Printing Options tab to choose:
- Feed direction
- Face up or face down
- Left, center, or right feed position
The dialog includes illustrations showing how the envelope should be inserted into your printer. Printing a test envelope first is recommended to confirm proper alignment.
Step 6: Customize the Appearance
Microsoft Word lets you personalize the envelope before printing.
You can modify:
- Font style
- Font size
- Bold or italic formatting
- Address alignment
- Position of delivery and return addresses
These adjustments help create a clean, professional appearance for business correspondence or formal invitations.
Step 7: Print the Envelope
Once everything looks correct:
- Load an envelope into your printer.
- Click Print.
- Review the printed result.
If the addresses are misaligned, return to Printing Options and adjust the feed settings before printing additional envelopes.
Save Your Envelope for Future Use
If you regularly send mail to different recipients, you can save your envelope layout instead of creating it every time.
Choose Add to Document, then save the file as a normal Word document. The envelope becomes the first page, allowing you to update only the recipient’s address whenever needed.
This can save time for offices, small businesses, and anyone who mails documents frequently.
Print Multiple Envelopes with Mail Merge
For newsletters, invitations, or business mailings, Microsoft Word’s Mail Merge feature allows you to print envelopes for many recipients automatically.
Mail Merge connects Word to a list of names and addresses stored in Excel or another supported data source, then generates individual envelopes for each recipient.
This is much faster than entering addresses manually one by one.
Common Printing Problems
If your envelope doesn’t print correctly, check the following:
- Verify the envelope size matches the selected paper size.
- Confirm the envelope is loaded in the correct orientation.
- Use the printer’s manual feed tray if available.
- Update your printer driver if alignment issues continue.
- Print a test envelope before printing larger batches.
Small adjustments often resolve most printing issues.
